â©Job Summaryâ©The Faculty of Arts and Social Sciences (FASS) is dedicated to delivering the highest quality arts, humanities and social science education in Canada consistent with our standing among the top fifteen universities in the country. The Administrative Assistant provides general administrative support and reception services to the Departments of German, Russian Studies, and Spanish and Latin American Studies, and to the Chinese Studies Program. This position supports the study abroad programs offered through these departments, and maintains the departmental websites.â©
â©Key Responsibilitiesâ©
- Provide reception services for the three departments and one program. Serve as resource to potential applicants and registered students; respond to inquiries regarding programs, facilities, deadlines, and activities. â©
- Provide administrative support to departments and program, Chair, faculty members and the Administrative Coordinator, which includes preparing academic forms, scheduling exams, coordinating book orders, and other related duties. â©
- Schedule departmental meetings and compile relevant information for distribution; book meeting room; prepare agenda and record minutes. â©
- Coordinate multiple study abroad programs including application, registration and visa processes. Respond to program inquiries and liaise with host institutions to coordinate logistics. â©
- Maintain department and program websites, and assist with the coordination of communication and marketing activities, and events. â©
- Track expenses for endowment, annual giving, and special purpose accounts, reconcile expenses and provide budget updates. â©

â©Qualificationsâ©Business/Office Administration program with approximately three years' related work experience (or equivalent combination of training and experience) is required. Excellent communication, organization and interpersonal skills are essential, and demonstrated cultural competence and awareness are required. Attention to detail and ability to multi-task is required. Proficiency in MS Office applications (Word, Excel, Outlook) is required. Familiarity with Banner and Adobe Experience Manager (AEM) content management program would be an asset.â©
