The Role

Looking for a dynamic, personable individual who thrives in creating a welcoming environment for guests and clients with diverse backgrounds, while always maintaining professionalism. You will be the director of first impressions, where your interpersonal skills drive the clients experience to be a positive one. Pertaining to Scheduling Coordination, you will be responsible for the effective scheduling of staff throughout the PECCA program at CBBC, ensuring appropriate coverage for all posts, and assigning sufficient coverage during employee absences, and in emergencies. The incumbent will be tasked with reviewing all time sheets to verify records of assignments and any changes. The position will maintain staffing reports including vacation and sick time reports. Duties

  • Responsible for scheduling:

o Prepare schedules for staff within the PECCA Program.

o Address changes to staffing by ensuring appropriate coverage is always maintained.

o Work within the Nova Scotia Labour Standards to ensure compliance (i.e., time in between shift work, scheduling legislation, etc.).

o Maintain staffing reports (i.e., vacations, sick days, etc.)

o Ensure integrity and confidentiality of Data Entry.

o Confer with management or subordinates to resolve worker problems, complaints, and grievances.

o Constantly look for improvements and help implement solutions.

o Provide assistance with clerical and technical support for HR activities.

o Maintain accurate, up to date and complete personnel records.

o Organize, maintain, and coordinate office records and files in their proper locations.

o Answer questions about and add new material to records and files. Create new files and records as necessary.

o Any other duties as assigned.

  • Responsible for answering incoming calls, directing calls to appropriate associates.
  • Provide general office support with a variety of clerical activities and related tasks with the administrative team.

Education/Experience

  • College diploma in office administration.
  • 2+ years of reception experience preferred.
  • 1 year of experience as a Scheduling Coordinator preferred.
  • Team player within a multi-disciplined team.
  • Strong organizational skill set.
  • Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.
  • Excellent analytical and problem-solving skills.
  • Meticulous records maintenance skills.
  • Ability to remain calm in all circumstances, appropriate stress management skills.
  • Able to deal with people sensitively, tactfully, diplomatically, and professionally always.
  • Superior telephone manners and strong interpersonal skills.
  • Strong written and verbal skills to communicate with all levels of the organization.

Job Type: Full-time

Salary: $30,000.00-$40,000.00 per year
