Job Summary The School of Occupational Therapy provides students the opportunity to build rewarding careers, studying under internationally recognized professors. Reporting to the Administrative Manager, the Administrative Secretary provides reception to the School as well as administrative support to the MSc Occupational Science Program and the Faculty with research tasks.
Key Responsibilities
- Provide reception to the School, including greeting visitors, receiving and directing phone calls, monitoring bookings of room and audio visual equipment, ordering stationery, acting as the contact person for the School's photocopier, etc.
- Assist Graduate Coordinator in administrative coordination of the MSc Occupational Science program, including preparation of correspondence, assisting with student and faculty questions about the program, maintain records, complete annual reports, prepare meeting materials, etc.
- Work with PhD program in the Faculty of Health to monitor PhD students that are supervised by Faculty Members within the School of Occupational Therapy.
- Assist in the development of marketing materials for graduate recruitment.
- Support Faculty research by assisting with online grant submissions, Uniweb and supporting meeting coordination and scheduling.
- Monitor and update the School's website and social media presence.
Note The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Qualifications Business/Office Administration program with three years' of related experience (or an equivalent combination of training and experience) is required. Strong computer skills including Microsoft Office (Word, Excel, PowerPoint, Outlook and Access) required. Experience using Banner, 2nd Entry, and the Graduate Studies Information System would be considered an asset. Web page design and social media experience would also be considered an asset. Excellent organizational and communication skills required. Previous experience with graduate programs preferred.
